Sharing Content with Other Units Using FWI Cloud 

This document provides instructions on how to share content with and retrieve content from other units across Penn State. 


Content Creators: units creating content to share with other nits 

  1. Create content*: 
    • Read the Content Design Best Practices.
    • Create content using a 16:9 aspect ratio with a minimum 1920×1080 pixels and 96 dpi 
      • Allowable file types: 
        • Images: apng, gif, jpeg, jpg (preferred), png, tif, tiff 
        • Videos: mp4 (preferred), mpeg, mpg, wmv 
    • Recommended to create image content for both Horizontal (1920×1080) and Vertical (1080×1920) displays if possible 
    • Name your files using the following naming convention: 
      • StartDate_EndDate_EventName_Orientation (no spaces) 
        • StartDate = MMDD – 2-digit month+2-digit day 
        • EndDate = MMDD – 2-digit month+2-digit day 
        • Orientation = a single letter (V or H) at the end to signify orientation 
      • Example: 0915_1006_StudentActivity_H.jpg
  2. Upload your content into FWI Cloud 
    • Log in to https://fwicloud.com using your Penn State Access ID/Password 
      • If you do not have access, please contact us and we’ll get you access. 
    • Click on the Library module 
    • Click on the -Shared Content (for all campuses) folder  
      • Note: All content creators will have access to this folder and will see all content, so please be considerate of other units’ content and do not move/delete/rename any files.  
    • Select the folder that best matches the audience of your content  
    • Select the appropriate folder for your file (Horizontal, Vertical, Video)
    • Upload your file into the folder. There are two ways to do this:  
      • Drag/drop your file(s) from your computer into this folder 
      • In the blue navigation bar, click on New → Upload  
        • Select the file(s) you want to add to the folder. Click Open 
      • After a few moments, your image(s) will appear in the list. 
      • You can upload multiple items at once, however you cannot upload a folder. 
  • Share the news!  
    • Send a note to the Digital Signage Community of Practice on Teams. 
      • Use the “Shared Content Updates” channel 
      • Example text: “Good morning, Digital Signage CoP (team tagged) – the Bryce Jordan Center has uploaded an image to the shared digital signage folder for all campuses in FWI cloud. This sign is horizontal and is seeking non-profit groups to staff/fundraise the Mount Nittany Club at Beaver Stadium during Penn State home football games.  Please share where you feel appropriate.  Your assistance is appreciated.” 
      • Some folks like to add the image directly into the post, though that is not required since you indicate where to find it in FWI Cloud.

*Note for Student Organizations: Student organizations interested in running digital screen graphics can submit their design, dates, and information online via the HUB Marketing Office. Select the ‘Submit an ad now’ button and complete the form and upload. Submissions for digital signage are simultaneously considered for select publications (HUB Toilet Paper, Elevator Pitch, etc.) as space permits; digital signage space is guaranteed. Content runs on a dedicated StuOrg feed in Student Affairs buildings.

Sign Managers: units receiving shared content 

To choose individual items from the Shared Content folder: 

  • Log in to https://fwicloud.com using your Penn State Access ID/password. 
  • Click on the Library module 
  • Navigate to your unit’s content folder 
  • Click on the Table where you wish to add new content 
  • Add a new row and enter the information for the image you want to share. (For full instructions, view our document for using FWI Cloud tables) 
    • The information for the image should be included in the file name. Please respect the dates listed in the file name when setting your start and end dates. They are set that way for a reason. 
    • Name: This is an administrative name for your content. This will help you quickly identify what the file is without looking at the image.  
    • StartDate: The first date you want the image to appear on your sign. 
    • EndDate: The date the image will no longer appear on your sign. 
      • Note: the day starts at 12:00 a.m., therefore, the image will NOT be visible on the date you choose.  
      • To have the image appear on August 31, you must select September 1 as the EndDate. 
    • ContentPath/URL: This is the actual image file.  
      • Click on the table cell.  
      • A pop-up will appear. Using the navigation on the left, click on the upload arrow beside the -Shared Content folder and navigate to the location where you want to find images.  
      • Select the image you want to add to the table 
      • Click Done 
      • The content is now in the table. 
  • Repeat this process for each image you want to add (a new row for each image)
